RECREATION TRAVEL LEAGUES

Goal  The main purpose of the Travel Ball Organization is to keep better players associated with VHGSA in the VHGSA by providing increased competition by combining recreational league softball with travel ball tournaments.

Policies and Procedures 

Advisory Board

 A. Members.  The travel ball advisory board shall be governed by the Board of Directors of the VHGSA.  The Advisory Board shall consist of the following members:

1. Current President of the VHGSA
2. Current President-Elect of the VHGSA
3. Current Past-President of the VHGSA
4. Current member-at-large of the VHGSA
5. Current Travel Head Coaches of the respective teams

 B. Responsibilities 

1. The responsibility of the Advisory Board is to make recommendations and judgments that will have a direct effect on the direction and operation of each perspective travel ball team.
2. Report all recommendations to the VHGSA Board for approval.

Selection of Travel Team Head Coaches and Assistant Coaches

1. All coaches that wish to be considered for Head Coach or Assistant Coach must be a current member (coach) of the VHGSA.  This means that the head coach or assistant  coach must have been an approved coach in the previous Spring leagues.  Forms will be given to those candidates to complete.
2. All coaches that wish to be considered for Head Coach or Assistant Coach must be selected and approved by the VHGSA and subject to the Code of Ethics.  Background checks will be mandatory for ALL coaches in the travel program.

Selection of Teams

1. The travel team shall consist of NO LESS than 10 players
2. Each team shall consist of at least 80% of VHGSA participating players.  Any deviation from this must be submitted to the board for approval.
3. The selection of the team shall be done by way of tryouts.  Tryouts will be held on an annual basis at a pre-determined time.

Travel Team Head Coaches Responsibilities

A. Team Responsibilities

1. Follow duties of Coaches in Article IX in the current VHGSA by-laws.
2. Attend Advisory Board meetings.
3. The Travel Team Head Coach reports directly to the current President of the VHGSA.  The Head Coach is required to keep the VHGSA President informed of any disciplinary issues.
4. The Travel Team Head Coach is responsible for all aspects of running the team not limited to;
                                       a)         Submitting Budget to VHGSA
                                       b)         Maintaining proper insurance for players
                                       c)         Getting Sponsorships to offset budget costs
                                       d)         Ordering Uniforms
                                       e)         Tournament Selection

B. Financial Responsibilities

1. Each Head Coach will be responsible for maintaining a team checking account with the VHGSA Treasurer as primary signature and the Head Coach as secondary signature.
2. Each Head Coach shall submit in writing monthly reports to the President and Treasurer of the VHGSA.  The monthly report shall be due on the 5th of each month.  Failure to provide the report by the 5th of each month will result in an oral reprimand on the 1st offense, written warning on the 2nd offense and expulsion from the Head Coach position on the 3rd offense.
3. Each Head Coach shall be responsible for raising funds and dispensing of funds.
4. Any and all equipment purchased with Travel Ball funds shall immediately become property of the VHGSA and shall be turned over at the end of the year.
5. All sponsors from the recreation  league from the previous spring will be protected until the beginning of the next season. At that time each travel coach will be given a list of the current sponsors that are protected as well as the previous year sponsors. At that time, any sponsor from the previous year that is not a current sponsor will be open to pursue.

Players Responsibilities

1. Each player shall be responsible for their share of the teams financial obligations.
2. Each player must be a current member of the VHGSA unless otherwise approved in writing by the VHGSA Board.
3. Agree to sign VHGSA Code of Ethics
